The Executive Assistant & Office Operations and Events Coordinator provides executive, administrative support to the Managing Director, Portfolio Management and handles day-to-day office operations and plans and coordinates company-wide events.
Responsibilities:
  • Provide administrative support to Managing Director of Portfolio Management
    • Calendar management including scheduling meetings and ensuring MD of PM is available when others are trying to schedule
    • Prepare expense reports through Concur and submit timely for reimbursement
    • Book travel including flights, hotel, & secure any restaurant reservations
    • Assist in preparation of presentations (PowerPoint, Canva, etc.)
  • Handle all office management responsibilities
    • Oversee and maintain office operations
    • Handle onboarding logistics for new hires with direction from People department
    • Manage and maintain office supplies and inventory; order supplies/replacements as necessary
    • Serve as point of contact for all office-related inquiries
    • Liase with building management and vendors for office/equipment maintenance, repairs, etc.
    • Coordinate office moves across all DLC (and affiliate companies) offices
    • Oversee the management of office mail, deliveries, etc.
      • Coordinate mail and package delivery with FedEx and Pitney Bowes
    • Maintain a tidy, efficient, organized and safe office environment
      • Ensure compliance with office safety regulations
  • Plan, manage and execute all company-wide events, departmental events and industry events/conferences
    • Develop, manage and adhere to event budgets, ensuring cost-effective planning and execution
    • Coordinate event logistics including invitations, registration, accommodations, catering and transportation, if needed
    • Source and contract with vendors for catering, audiovisual equipment, décor, entertainment and other event services
    • Develop and adhere to detailed event timelines and schedules

Technical Skills:
  • 3-5 years of experience in executive, administrative support, office management and/or event coordination and planning
  • Proven ability to manage budgets, negotiate with vendors and coordinate logistics
  • Proficient in Microsoft Office (Outlook, Teams, Word, PowerPoint, Excel)
  • Proficient in additional presentation software (i.e. Canva)
The expected salary range for this position is between $75,000 and $85,000. The actual compensation will be based on factors such as scope and responsibilities of the position, candidate's work experience, education/training, job-related skills, internal peer equity, market and business considerations and other factors permitted by law.
